We are currently recruiting Marketing and Sales Coordinator to join our Marketing and Sales Team. A key member of the Sales and Marketing team, the Marketing & Sales Coordinator is responsible for assisting the Director, Marketing and Communications with the implementation of the Strategic Marketing Plan, including but not limited to providing general support for marketing, corporate sponsorship and communication requirements, planning client events, producing reports for internal and external stakeholders and generating client documentation that accurately reflects the Account Managers’ commitments to clients. The incumbent will also provide support to the Director of Sales when required. MAIN RESPONSIBILITIES             

Developing communication tools including print media and press releases; Developing the Shaw Centre brand through social media, including Twitter, Facebook, LinkedIn, Instagram, and Vimeo; Writing and managing content on the Shaw Centre website; Writing and producing monthly internal e-newsletters; Working with key industry partners to promote Ottawa as a convention destination; Supporting and implementing promotional partnerships with industry organizations; Fostering positive public relations through participation in local events, volunteering with community organizations and connecting with local partners; Growing the advertising client base and managing the implementation of digital and printed advertisements in the centre; Participating in the development and implementation of client events and other special events as assigned; Preparing various monthly and weekly reports for key stakeholders; Liaising with internal client base for product development, sales requirements and convention services as requested; Developing and managing reports, including market research, mailing lists, inventories, forecasts, budgets and project management templates; Preparing and maintaining a calendar of sales and marketing events, ensuring attendee and logistical information is accurate;

Providing support in coordinating all correspondence on behalf of the Account Managers, including preparing letters, memoranda, proposals and contracts; Assisting Account Managers with details of bookings and events, managing invitations, coordinating follow-up regarding contracts, deposits, schedules, etc. Assisting with data entry into the client database and event management system, EBMS (create and update accounts, log outcome of sales missions, manage traces); Providing office support and reception coverage on occasion; Responding to general inquiries from the website; Providing public tours to groups when required; Establishing knowledge of corporate policies, processes and procedures as well as an awareness of the roles and responsibilities throughout the Shaw Centre to promote outstanding customer service outcomes; Demonstrating continuous effort to improve operations, streamline work processes and work co-operatively and jointly to provide quality seamless customer service; Performing work in accordance with the provisions of the Occupational Health and Safety Act and Regulations and all other corporate/departmental policies and procedures; and Performing other related duties as assigned by supervisor.

EDUCATION/EXPERIENCE:         

College diploma in marketing, communications, office administration, hospitality and tourism or business administration; Minimum two years related experience in an automated office environment; Experience in a sales and marketing environment is an asset; Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic/experience requirements; Strong computer skills including the following: Microsoft Word, Publisher, Excel, Outlook; Excellent communication skills, both verbal and written; Must be a team player and be able to work as a member of the Sales and Marketing department; Must be detail and customer service oriented and be able to exercise good judgement with regard to client requests; and Must be able to work well under pressure.

ADDITIONAL COMPETENCIES/SKILLS:   

Comprehensively use software including database programs, spreadsheets, word-processing, presentation, and electronic mail and calendaring; Internet and research skills; Ability to speak on the telephone in a professional manner to clients; and

DEMONSTRATED ABILITY TO:  

Communicate effectively and concisely, both orally and in writing; Act decisively to translate departmental strategies into concrete action plans;

EFFORT AND WORKING CONDITIONS   

Focus on and juggle multiple accountabilities and priorities, with frequent disruptions; Normal indoor office environment with a full-time weekday schedule; and Occasionally required to extend hours of work to meet work demands including evenings or weekends.

LANGUAGE 

Bilingualism (English/French) is an asset.
